Q&A: How to report church financials in the weekly bulletin

Church finances is a topic that should be communicated consistently and clearly in the church bulletin.

I recently got an excellent question via email about church communications and church finances and wanted to answer it here:

Question:

Do you have any suggestions on how to report church financials in the
weekly bulletin?

My answer:

First of all, let's establish the fact of whether or not to put financial information in the church bulletin at all. After we do that, we'll then look at what to include and then some tips on design and placement.

Why put financial information in the bulletin

There are some churches that don't do this for a variety of reasons, but this is a mistake. Here are some of the reasons why it's important:

  • The staff does not have time to individually discuss the financial situation with each person in the congregation.
  • Churches need money to function; this is not something to be ashamed of, but to be treated honestly.
  • The church is a family and every family needs to know its financial status.
  • If you don't share, the finances can be seen as a staff secret and not a shared responsibility.
  • People need to know where the church is financially so they can give and pray.

What to include in the bulletin about finances

On a weekly basis include:

  • What was given for the past few weeks AND what was budgeted. It's also nice to include the sum over and under (saves people trying to figure it out).
  • The reason both numbers are important is that if you only give what comes in people have no idea if that meets the budget or if it falls short. Numbers without context don't mean anything and don't provide either cause for praise or concern.
  • If you conducted a special offering, also include the results of that.
  • If you have a special offering coming up, let people know and what your goals are for it.
  • Have a link to your website where you have year-to-date totals and other information that might be useful, which I'll explain more below.

Periodically:

Additional information on Biblical giving overall and the specifics of how it is practiced in your church can be shared in shortened form in the bulletin, in longer formats on your website, and in the church newsletter. Here are some suggested topics:

  • Provide church giving information, for example, if you use envelopes, how people can get them. For unchurched visitors this can seem very confusing.
  • Church budgeting process—how the church decides how much money is needed each year.
  • Designated fund giving rules—many churches have rules about what goes into the general fund and what qualifies as designated funds. A several years ago a church I was working with in the same church newsletter had a lengthy plea for people to give more to the church because of a serious budget shortfall. In the same newsletter there was an article about a huge memorial donation given to the music department for organ repair. Needless to say, the church office got a number of very confused and a few angry inquires the following week. They contacted me and asked if they should put out an article explaining the difference between the general fund (which was seriously low) and designated giving (which was the source of the memorial donation). My answer: "YES!  Do it immediately and explain the difference in detail!"
  • Biblical teaching on the commands and benefits of generous giving.
  • Sound financial family resources.

Design of your communication

The key characteristics of church financial communication are that it should be:

  • Clear
  • Understated
  • Tasteful
  • Consistent

A simple chart in the same place every week works well. A simple, clear headline, something like "Church Financial Report" is all that is needed. I've seen many well-done ones in the bottom corner of a page of the bulletin. However, don't make it the last page—you don't want that to be the last thing people see when they are reading information about your church.

One more thing

The church bulletin is not the place to share lengthy pleas for money or to post dramatic appeals.

I will never forget a church bulletin that said in huge letters across the front:

Bridge to the future is taking place!

XXX amount given so far; XXX to go….

Have you made a pledge yet?

I doubt if anyone visiting the church for the first time that Sunday would be highly motivated to return. Something like that confirms a fear many people have about churches that all they want is your money.

Critical giving needs and similar information is better communicated in a letter or emails to committed members of the congregation. Again, remember the church is family and we don't share our entire financial situation with everyone who visits our homes.

As with many things in the church, ask for the Lord's wisdom and share your financial information "decently and in order" so that He will be pleased and your church will be a good witness to the world of financial integrity.

Is your website an open door or barrier to your church?

Your website can either be an open door or a barrier to your church--it's your choice.

Today, if we have a question about anything, where do we look up information? If we want hours of operation, products offered, staff bios? If we want to know what movie is playing, what time a concert starts, what classes are offered at a college where do we do to find out? Obviously, we go to the website. It's the same whether we are looking up information about what computer to buy or what church to attend.

We judge the organization, its people, and its products based on the website. If the website gives us winter hours and it is spring; if the sale has been over for weeks or if the hours of operation are incorrect, we aren't likely to visit the business or have confidence in it. If the business is a franchise and the website is an obvious template, with little local personalization, we won't think much about the technical skills (equated with competence overall) of the staff. Again, we judge a church the same way.

Unfortunately many church websites don't meet the minimal standards.

Though lost customers may be bad for a business, the consequences for a church are much more serious. Following is an example of what can happen and then some suggestions for change.

True story here

A couple hadn't been able to attend church for some time after moving to a new community because the wife was ill. Her health improved somewhat and they were excited about attending church the following Sunday. It wasn't easy for her to get up early, take the needed medications, and prepare for church, but they loved going to church and after checking out many churches in the area found one on the web they wanted to visit. The website told them the details, time it started, directions, and they assumed, all they needed to know.

As they walked through the doors they were met by a woman who said, "do you know what is going on today?'

"No," they replied.

"We are not having church today, we are doing a community service day. You can stay and work or go somewhere else."

When the couple asked why this was not on the website—the woman replied, "It probably should have been. I'll pass that on."

It was not a pleasant encounter and the couple left.

What if. . .

The couple who related the story to me, consulted the web again, and went to another church later that morning. They were upset at that church and may or may not visit again, but they are believers in Jesus and will eventually find a church home.

However, what if the visitors had been a couple in emotional crises? What if they were not believers in Jesus and had finally worked up the courage to visit a church only to be told that it was a day for the insiders to do a project and that they were not included? What if it was the last time a person who had been hurt by church leaders in the past decided to try one more time to attend before giving up on church completely?

Of course we can't know the situation of every person who comes through our doors and of course there are always people who won't read notices no matter where we post them, but there are things we can do to prevent potential spiritual disasters and that in addition are simply good business sense and good manners.

A primary recommendation

Keep your website CURRENT! Not only on your home page should you have any changes that differ from your normal schedule, but also on the pages that list ongoing events. For example if your service is cancelled for a work day, on the home page, if you have rotating headers, one should say "WORKDAY this SUNDAY—no regularly scheduled services.

A similar message should be on ALL listings of your service times throughout the website. This is because you never know where people will drop into a website based on the results of a search engine.  If you've done these things and a visitor still shows up – honestly apologize and ask them how you could have communicated more effectively.

A foundational to-do—learn how to create a living website

Your website is not only a static brochure, but should be a living, ever-changing communication vehicle with your community. Having said that, there is also place on your website for static information that rarely changes—staff bios, overall vision and mission of the church, etc.  Information like this is essential and having it in a consistent location is one of the primary benefits of a website as opposed to the ever-flowing river of social media.

Social media is at best an interactive communication tool useful most often with people who are already interested in or involved in your church—but it is a lousy tool to find out about the background of the staff, the beliefs of the church, or for an overview of the children's ministry. A website is the perfect tool for this factual information, but even though this information stays relatively the same, it must also be updated immediately when things change.

To make your website living, you must have a website that the church office staff knows how to modify. Before the objections start, there is absolutely NO EXCUSE for members of the church office staff to not know how to modify your website. Churches have had access to the Internet for over 20 years and most churches have had websites in some form for over 10 years. But for some reason, many church communicators, including pastors and church office staff think they can't create a website, modify an article, or create a blog and that simply is not true.

Get a grip people—if you want to communicate to your world today, you must to learn the language of the digital world. It isn't that hard, it is exciting, and can be tremendous fun. You've learned how to drive a car, use a computer, and any number of additional skills for your work and life. You can learn this.

More will be coming on this site about websites and how to create them, but in advance of that, there is an abundance of instructional videos, books, websites, and tutorials on how to create websites and blogs with WordPress— the free and easiest way to do it.

Finally, all the above isn't simply a push for church staffs to update their websites, so visitors aren't turned away; it's about doing all we can to help people find Jesus. Throughout history missionaries have learned new languages, given up family, safety, and comfort to share the gospel. Our challenge is to become fluent cyber communicators, let's not be found wanting in this.

Can your congregation read your newsletter on their mobile phone?

We rely on our mobile phones for so much of our communications today--be sure your website works on them.

You may have noticed that this newsletter came in a new format –and this was much more than a simple design decision. It was a change from a simple layout using a newsletter template to a text-only format and it was from a non-responsive to a responsive format.

I actually feel pretty dumb it took me so long to do this about this because I firmly believe in the present and growing importance of mobile phone communications.

I'm far from the only one who thinks this. According to a recent article in Litmus.com, a site that tracks email effectiveness:

It’s official: mobile now accounts for the majority of email opens, with a 51% share. That’s an increase of three percentage points since the previous record of 48% from September and October. Desktop opens now make up 31% of opens, while webmail has dipped to 18%.

In spite of knowing the importance of mobile and working very hard to make my website compatible with mobile phones and tablets, and making it a responsive site, I forgot all about making one very important part of my communication ministry compatible with mobile phones: my newsletter.

Ways to make a newsletter easier to read on your mobile phone

Below I'll share with you what I'm doing to make the newsletter easy to read on a mobile phone. This includes some of the changes I made before this last week.

  • I decided to have my newsletter be a blog broadcast of the latest articles on my website.  What this means is that the newsletter program I use (AWeber) sends the newsletter out automatically.
  • I use AWeber as my newsletter creator because it does blog broadcasts better than the other programs I tried.
  • AWeber has recently created templates for mobile phone newsletters, but to use them, you have to create your newsletter using them. Here is the article about them: http://www.aweber.com/blog/email-marketing/mobile-responsive-email-templates.htm
  • Because I use the automatic blog broadcast, that doesn't work for me.
  • Currently even the templates for the blog broadcast aren't mobile compatible. This is where I made a mistake—when I switched to the blog broadcast, I tested the blog broadcast template I chose on my computer, not my mobile phone. This week I was reading an article about making sure your newsletters are compatible on your mobile phone and I realized I hadn't tested mine on it.
  • When I did, as they say, "my bad!" –I realized how hard it was to read. The template was not responsive. It was a shrunken version of a computer screen-complatible newsletter. It was hard to read and none of us have time to pinch and move the screen around.
  • I went back to AWeber and after trying other templates and modifying them, I realized that the text-only format was the only one that would work.
  • That was fine with me because on a mobile phone, we don't really need graphics for a quick newsletter skimming of topics that go back to your website for longer articles for the complete article. The purpose of most newsletters is information--not to share great artwork and this format does that well.

If you are reading this on your mobile phone, you see the result. If you don't have a mobile phone--borrow one and check it out.

The bottom line is that making our newsletters easier to read on a mobile phone is simply one more tool to help us better share the messages on our websites and ministries that will help people find Jesus and grow to maturity in Him.

Ministry to widows is a ministry dear to our Lord's heart and one that defines us as Christians:

The Christian who is pure and without fault, from God the Father’s point of view, is the one who takes care of orphans and widows, and who remains true to the Lord—not soiled and dirtied by his contacts with the world. James 1:27, NLT

But as important as we know that ministry is, we often struggle with how to make its application practical in our churches. Fortunately a widow of a fire-fighter, Susan VandePol, took her pain and turned it into a beautiful and extremely helpful resource for others. She contacted me via LinkedIn and shared her e-book: Families of the Fallen. You can download the e-book, by going to the website: http://www.familiesofthefallen.net/

There are two versions of the book, one for Firefighter's families and one for churches.

Website is also an excellent communication example of beautiful brevity and impact

The website for the book is a beautiful example of a simple, focused, and extremely useful site. It is a tiny site in terms of size, but it is tasteful, lovely and provides appropriate information.

It’s not about your creativity, it’s about serving your congregation with your church bulletin

Letters don't mean anything until your organize them into clear, consistent communications.

Though the church communicator emailing me was asking about another topic, in passing she mentioned that she was going to be taking over the production of the church bulletin and was looking forward to changing it every week so she could express her creativity through it.

Her excitement about the new project and a wish to be creative was commendable, but it isn't a good idea to change the format of the church bulletin (or any other church communication) on a weekly or any other frequent basis and here's why:

People don't read the bulletin because they are looking for creative inspiration, they read it for information.

People access information by means of the structure you give them in your communications. The structure of your bulletin consists of the layout, the type and illustrations that you use, plus how you organize material into sections.

You want to come up with a clear system of how you use these structural tools so that people will not be conscious of the building blocks of your system, but will be able to easily access the information.

Type is one of the most important building blocks. On your church newsletter or bulletin, if someone says, "that was an interesting typeface," it isn't a compliment.

Did you notice the typeface on any blog you read regularly, on Facebook, or your local newspaper? You don't because you should always see through the typeface to the content. If people notice the typeface it can be a distraction to your message. [Read more...]
